Terms and Conditions for Events

Acceptance of Terms

By registering for or attending an event operated by Reality Capture Network (“RCN,” “we,” “us,” or “our”), you (“you,” “attendee,” or “participant”) agree to be bound by these Terms and Conditions. If you do not agree, you may not register for or attend the event.

Ticket Purchase and Event Access

Valid Tickets
A valid ticket is required for event entry. Tickets are non-transferable and may not be resold for profit without the express written consent of Reality Capture Network.

Ticket Delivery
Tickets may be delivered electronically or physically, as specified at the time of registration.

Refund Policy
Refund eligibility varies by event and registration type. If applicable, refund details—including deadlines, amounts, and eligibility—will be clearly stated on the event registration page.

Unless otherwise specified:

  • Registration fees are non-refundable after the stated deadline.

  • No refunds will be issued for no-shows.

  • Free events or events with no registration fee are not eligible for refunds.

All cancellation requests must be submitted in writing. Reality Capture Network reserves the right to determine refund eligibility in accordance with the specific event’s published policy.

Event Changes
Reality Capture Network reserves the right to modify the event program, schedule, speakers, venue, or format (including virtual, hybrid, or in-person) at any time. Such changes do not constitute grounds for a refund unless otherwise stated.

Venue Rules
You agree to comply with all rules and regulations of the event venue.

Age Restrictions
Some events may have age restrictions. It is your responsibility to verify and comply with any applicable age requirements.

Right of Refusal
Reality Capture Network reserves the right to refuse admission to, or remove from the event, any individual for disorderly conduct, intoxication, violation of venue rules, or failure to comply with these Terms and Conditions.

Liability and Disclaimer

Assumption of Risk
You acknowledge that attending events may involve inherent risks, and you voluntarily assume all risks associated with participation.

Limitation of Liability
To the fullest extent permitted by law, Reality Capture Network shall not be liable for any direct, indirect, incidental, special, consequential, or punitive damages arising out of or relating to your attendance at or participation in the event.

Disclaimer of Warranties
All events and services are provided “as is” without warranties of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.

Indemnification
You agree to indemnify and hold harmless Reality Capture Network, its officers, employees, contractors, partners, sponsors, and affiliates from any claims, damages, losses, liabilities, or expenses arising from your participation in the event or violation of these Terms and Conditions.

Conduct and Prohibited Activities

Respectful Behavior
You agree to behave in a respectful and professional manner toward other attendees, speakers, sponsors, exhibitors, and event staff.

Prohibited Items
Certain items may be prohibited, including but not limited to weapons, outside food or beverages, and unauthorized recording devices. Please refer to event-specific guidelines.

Photography and Recording Restrictions
Unauthorized photography, audio recording, or video recording of sessions, speakers, or content is strictly prohibited.

Intellectual Property

All intellectual property associated with the event, including trademarks, logos, presentations, and content, is owned by Reality Capture Network or its licensors and may not be used without prior written permission.

Photography, Filming, and Media Release

By attending the event, you grant Reality Capture Network the irrevocable right to photograph, record, and capture your likeness, voice, and participation. You consent to the use of such recordings for marketing, promotional, educational, and commercial purposes across all media formats, without compensation or further notice.

Communications and Marketing Consent

By registering for the event, you consent to receive communications from Reality Capture Network, including logistical updates, event materials, post-event communications, marketing information, and information about future events.

You further acknowledge and agree that Reality Capture Network may share your registration information with event sponsors and partners, who may contact you regarding their products or services.

You may opt out of future communications at any time by following the unsubscribe instructions included in such communications.

Data Privacy

Personal information collected during registration will be used in accordance with applicable laws and Reality Capture Network’s privacy practices. Registration information may be shared with event partners as described above.

Force Majeure

Reality Capture Network shall not be liable for any delay, modification, or cancellation of the event due to circumstances beyond its reasonable control, including but not limited to acts of God, natural disasters, government actions, public health emergencies, labor disputes, or travel disruptions.

Governing Law and Jurisdiction

These Terms and Conditions shall be governed by and construed in accordance with the laws of the State of Idaho. Any disputes arising out of or relating to these terms shall be subject to the exclusive jurisdiction of the courts located in Idaho.

Modifications to Terms

Reality Capture Network reserves the right to modify these Terms and Conditions at any time. Changes will be effective immediately upon posting. Continued registration or attendance constitutes acceptance of the revised terms.
